Work from the seller Orders page
On Dashboard, choose Selling → My Forms, find the form, and click View orders →. In list view, use the View orders icon. From Builder, use Settings → Publishing → View Orders. Click an order row to expand its details; on a small screen, open its Fulfillment, Payment + Buyer, or Admin group to see the actions.
The form owner and collaborators with View orders permission can review submissions. Changing an order requires Update order status/details; the separate resend and messaging actions require Message buyers. Each order can show the submission time, buyer name and email, shipping address, saved items and prices, shipping selections, product and shipping discounts, payment or other fees, seller adjustments, saved total, submitted answers, payment evidence, status, tracking, and seller notes.
Use individual order actions when one buyer or one order needs a different result. Select orders for supported bulk status, archive or unarchive, delete, payment-request, document, tracking, or bundle actions. A bulk operation still processes the selected orders individually. If a partial failure is reported, refresh Orders and review what remains; earlier orders may already have changed. Order details and screenshots can contain buyer names, contact information, addresses, payment choices, and notes, so redact them before sharing.
Deleting removes the seller's operational order and cannot be undone from Orders. If EZFormz says the order was deleted but cleanup did not finish, the order is already gone; refresh Orders before continuing. The buyer's protected receipt is separate.
To save a seller note, expand the order → Admin → Note, enter the text, and click Save. Seller notes do not appear in My Orders or Buying, but can print as Fulfillment Note in seller invoices and packing slips. Both default PDF profiles include them. Before sharing an invoice or putting a packing slip in a shipment, review the note or turn off Fulfillment note in the relevant Builder → Settings → Invoices & Packing Slips profile and click Save changes.
With Message buyers permission, open Payment + Buyer → Resend Email to send the buyer's updated confirmation or Message to open the order thread. In Admin, choose Status History or Report buyer abuse. Use the order thread for an ordinary payment, cancellation, or fulfillment disagreement; use the report action for suspected fraud, threats, malicious conduct, or another Terms violation. Confirmation resends and order-message email prompts use EZFormz delivery; they are not sent from a seller-owned mailbox.
Orders does not show per-order Google Sheets sync chips or a Sheet health banner. As the form owner, go to Dashboard → Selling → My Forms, click the form's gear (Form settings), then Builder → Settings → Integrations → Google Sheets to investigate its connection. Where Check access is shown, it checks access rather than Sheet data accuracy; it can first save pending Builder changes, so review and click Save changes deliberately before checking. On a managed connection, Refresh from orders requests a refresh from saved orders. Neither an access-check result nor an accepted refresh confirms that all Sheet data is accurate or that publication has finished. See Sync orders with Google Sheets.
Read the list and revenue cards
Use the status tabs, search, and sort menu to find an order. Sort options include newest or oldest, most recently edited, buyer name, amount, payment method, status, and bundles first. For a non-empty, non-poll order list, Edit Requested remains visible: it is muted at zero and amber when active orders have pending buyer requests. Its count excludes archived orders.
Check Show orders with unverified payments only to see every order with at least one submitted payment proof that you have not marked Proof verified. An order with no submitted payment proof does not appear.
The checkbox combines with the current search and status selections. If any payment proof is still unverified, the order stays visible. After every proof is marked Proof verified through the current action or its older seller-verification action, the order disappears after refresh. The order's overall status and automatic transaction-check results do not control this filter. Choose the Archived status together with the checkbox to review archived orders with unverified proofs. Matching does not establish whether money arrived outside EZFormz.
Check Outstanding payment links only to show orders with an open payment request for a positive amount, including requests that need seller action. It matches the payment-request card and can include an order already marked Paid. Both payment checkboxes checked means an order must have an outstanding link and an unverified proof.
Expired, cleared, and completed links are excluded after refresh. A zero-amount request appears only after its requested amount becomes positive. Completing a link means proof was submitted, not that funds were confirmed received; use the unverified-payments checkbox to review submitted proof. This list is not a complete record of missing payments or expired requests.
Payment checkboxes narrow the order list together with search and the other filters. Choose Archived to find archived matches. They do not narrow CSV export or Product Summary's separate controls, and they do not clear previously selected orders. Bundle-wide actions still include hidden members; review the bundle's shown/total count and action confirmation.
Active Revenue adds each non-cancelled order's saved invoice total, including pending submitted orders. Crypto Payment Total and Non-Crypto Payment Total partition that same set: every order is counted exactly once under its selected payment method, and the two totals add back to Active Revenue. Proof uploads, later payment rows, verification, and refunds stay visible on the order but do not add another copy of its invoice value. Named non-crypto methods keep their labels; an order with no available payment-method label appears under Unspecified in the non-crypto breakdown.
If the complete payment, refund, and balance snapshot cannot be loaded, the Orders page asks you to refresh instead of showing zero balances or incomplete revenue cards.
The collapsed-row Copy menu can copy the order ID, shipping information, phone number, buyer email, and submitted Telegram name or username when available. A shortened Telegram identity can be expanded without opening the order.
Group orders for fulfillment
A bundle is a seller-side packing and shipping group. Creating or unbundling the group requires the form owner; a collaborator's Update order status/details permission does not grant those owner-scoped operations. To create one as the owner:
- Select the checkboxes for between 2 and 100 orders from the same form.
- Click Bundle in the selection bar at the bottom. If the selected customer names or emails differ, review the confirmation before continuing.
- Enter a Bundle label in the prompt and confirm. Expand the new bundle and review its buyer, address, payment, status, and tracking differences before using a bundle-wide action.
Bundling does not merge orders, charge amounts, inventory, coupons, payment records, or balances. If a selected order is already in another bundle, it moves to the new bundle.
Bundle status and tracking actions update member orders one at a time. If an action reports a failure, review every member because earlier orders may already have been updated. Unbundling removes only the fulfillment group; it does not change the orders.
Expand a bundle to use Select All In Bundle, Request Payment, Print invoices, or Print packing slips. To change member statuses, choose Fulfillment status and click Update Bundle. Enter one tracking number per line under Tracking, then click Save Tracking. Unbundle asks for confirmation and removes the group. Those actions still operate on each underlying order and retain its permission checks; a bundle is never one combined invoice or payment obligation.
Review form-wide summaries
Duplicate Check scans explicit transaction references on the loaded form's payment rows and links matching orders for manual review. An ordinary custom question does not become a payment transaction field because its label contains “TXID,” “transaction,” or “hash.” A duplicate is informational and does not block proof acknowledgment or an order edit.
Poll, checkbox, and multiple-choice results can be shown as aggregate bars. Expand Product Summary, then use its Include statuses controls and Archived checkbox to choose its scope. By default, it includes every non-archived status, including Cancelled, and excludes archived orders. It follows the current search, but not the order-row checkboxes, list status tabs, or payment filters.
Product Summary totals quantities for that scope and shows product, shipping, discount, fee, and adjustment components separately. Those visible components must reconcile to the scoped saved Invoice Total values; if they do not, EZFormz asks you to retry instead of guessing.
Keep seller and buyer history separate
Archiving on the seller Orders page hides an order from the seller's default list. It does not archive the buyer's copy or erase the order from seller totals and exports.
Buyers manage their own history from My Orders. A buyer may see that an order belongs to a bundle, but every order remains a separate purchase with its own receipt and actions. See View buyer orders and protected receipts.
