Choose the right bulk tool
Start at Dashboard → Selling → My Forms → Edit form → BUILD, then select the Products block on the canvas. You need permission to edit products to change the catalog.
- Use Bulk Add to paste a simple list of new products.
- Use CSV Import to create detailed new product records with variants and supported catalog fields.
- Select products in the builder to move, sort, publish, unpublish, change common limits, or delete them together.
- Use CSV Export to download the current catalog as a reusable starting file or audit copy.
Product CSV Import adds records. It does not match or update existing products by ID.
Paste a simple product list
- Select the Products block in the builder using the path above.
- Open + Add → Bulk Add (paste list). On an empty catalog, choose the Paste List tile instead.
- Put one product on each line using
Product Name - $29.99,Product Name, 29.99, orProduct Name | Description | Category | $29.99. - Click Preview, check the detected names and prices, then choose Add Products.
- Review the new products and click the builder's top-level Save changes to make them live.
Each line becomes one product with one variant. A line without a price creates an explicit $0 option, so review every detected amount before saving.
Export before a large catalog change
Above the product cards, choose CSV → Export catalogue as CSV. This downloads the saved/live catalog, not unsaved editor changes. Click Save changes first only if you want your current edits included in the export; keep the earlier export if you want a pre-change backup.
The export writes one row per option and includes the saved product order. The filename is {form-title}-products-{YYYY-MM-DD}.csv. Descriptions with line breaks and the complete product photo gallery are quoted in the CSV.
The export includes these importable product fields:
product_name,description,size_label, category, required and fixed-quantity flags, tags, and publish or visibility dates.- Single-link fields plus the complete
product_linksJSON and public menu label. - Sold-goal settings, featured image URL, and
product_imagesgallery JSON. - Product unit cost, sale price and dates, and product bulk tiers when the current user's permission allows those private costs.
Option fields include label, regular price, option unit cost, local stock, low-stock threshold, Max/Order, sale price and dates, and bulk tiers.
Own-count variants have writable stock and alert columns. For a shared variant, those cells are blank and the inventory columns show its effective availability. Change a shared count or connection in Inventory; do not copy a shared availability value into an own-stock column.
Import a product CSV safely
- In the Products block, choose CSV → Download blank template, or CSV → Export catalogue as CSV for a starting catalog. On an empty catalog, use Download CSV template below the starting tiles.
- Keep a product name and an explicit option price on every imported product. Use
0only when the option is intentionally free. - Repeat the same product metadata on rows that should become variants of one product.
- Click Save changes for any current edits you intend to make live, then choose CSV → Import CSV and select your file. On an empty catalog, use the Import CSV tile. The file picker accepts
.csv,.tsv, and.txt. - Review the import confirmation and any remote-image choices. The importer saves pending builder changes before proceeding; resolve a failed save before trying again.
- After the catalog reloads, inspect the added products. Unlike ordinary builder edits, CSV Import writes the catalog immediately: local-stock products follow the imported visibility settings and may already be visible to buyers.
The importer groups rows with the same complete product identity. Same-name rows with different descriptions, categories, visibility, images, or other product metadata become different products. A later same-name row containing only option fields attaches to the most recent matching product group. Keeping repeated metadata identical is the safest spreadsheet workflow.
Product CSV has no update-by-ID behavior. Re-importing an export creates another catalog with new IDs and can duplicate every product. It also cannot recreate an exported product that has no option price: add an explicit price, including 0 for free, before importing that row.
Use current CSV field formats
product_nameand optionpriceare the essential fields. Option label may be blank.- Boolean fields such as
required,fixed_qty,show_sold_goal, andunpublishedaccept values such as1,yes, ortrue. - Date fields accept Unix seconds, Unix milliseconds, ISO dates, and common spreadsheet dates. Use ISO date-times with a timezone for predictable results; an unparseable optional date is treated as blank.
product_imagesaccepts a JSON array of up to eight image objects. When remote image URLs are found, the builder offers to re-host them; failed re-hosts keep their original URLs.product_linksaccepts the complete links JSON. The simplerproduct_urlandproduct_url_labelfields describe the first link.product_urlaccepts a completehttp://orhttps://URL or a bare domain such aswww.example.com; EZFormz normalizes the buyer-facing link.- Bulk tiers accept JSON or shorthand such as
5:10%,10:20%,10:5$for$5 off each, and option-only10:25$totalfor$25 off the complete variant line. - The catalog database write is all-or-nothing and may expand each row into several writes. If EZFormz reports more than 400 catalog writes, split the file into smaller imports. Remote images are re-hosted before that catalog write, so an uploaded image can remain in the account even when the later catalog import is rejected.
Product CSV import creates new own-stock variants and follows the imported visibility settings. It does not update existing variants by ID or connect a shared count. Use Inventory to connect those new variants after reviewing them.
Change existing products together
- Search or filter the catalog, then tick the checkbox in each product card's header to show the full bulk-action controls. Before selecting, the bar has a Select all shortcut; after selecting, Select all visible selects the current filtered results. Both respect the visible search results.
- Use Move to category... to choose an existing category, + New category..., or Uncategorized. Use Bulk change... for stock, alerts, limits, required state, or visibility; choosing an action opens any required input or confirmation. Use Delete selected for deletion.
- Review the affected products, confirm when prompted, then click the builder's top-level Save changes. These bulk edits remain editor/draft changes until that save; autosave alone does not make them live.
Current actions include:
- Move to an existing or new category, or back to Uncategorized.
- Set or clear local stock and Low Alert.
- Set or clear Max/Order.
- Mark required or optional.
- Publish or unpublish.
- Delete the selected products.
Variant-level actions apply to every variant inside each selected product and show a confirmation when several products are affected.
Use Sort for manual, name, price, or stock order, and for manual or alphabetical category order. Click Save changes to save the rearranged catalog; this is not merely a temporary screen filter.
For stock quantities and alerts, see Inventory setup and usage guide.
Bulk changes in Inventory
On Inventory, form owners can choose Select variants → Review bulk changes on Stock to set individual counts, add or subtract stock with +10 / -3, or leave the field blank for Unlimited. Review the warning and every selected variant before Apply changes. Shared-stock variants are skipped; their supply is managed in Shared counts.
To connect variants to a shared supply, choose Add products on that supply's card in Shared counts. Use View products → Remove to disconnect a variant and give it separate stock.
Shared counts also has Stock Count, Bulk Adjust, low-stock alerts, deletion and read-only Export CSV. Completed rows are not repeated when eligible remaining rows are retried. For an unknown save, use Check status before making another change. See the Inventory setup and usage guide for the full workflow.
Product catalog CSV adds new own-stock variants; it does not connect shared counts or update existing products by ID.
