Add tracking and reprint labels

Outcome: Save tracking numbers, understand notification outcomes, and reprint previously purchased labels without buying again.

Add tracking manually

From Dashboard → Selling → My Forms, choose the form's View orders. On Received orders, expand the order, open Fulfillment, and enter one tracking number per line in Tracking #s. Commas and semicolons are normalized to separate entries; an order can keep up to 20 tracking numbers. Choose ✓ after checking the numbers. There is no carrier selector here; EZFormz infers carrier links from the number format. Order-management permission is required.

Adding tracking normally moves an eligible order to Shipped. EZFormz preserves Ready for pickup, Shipped, Direct Vendor Shipped, Completed, Return Received, Return Refunded, and Cancelled instead of replacing those statuses. The Tracking column is also synchronized to connected order spreadsheets when that sync is available.

The public order view creates carrier links for recognized services such as USPS, UPS, FedEx, DHL, Canada Post, and OnTrac, with a general tracking-search fallback when needed. A carrier link is a convenience; the carrier record remains authoritative.

In My orders → Fulfillment, manual and imported numbers have carrier links when their format is recognized. Each number has its own link. Without a provider shipment, EZFormz explains that live carrier updates are unavailable; use the carrier site for progress. Saved provider shipments continue to show their stored status and update time.

Know when email can be sent

Saving tracking can send the buyer's standard tracking-added email when the order has a deliverable email address, the buyer has not disabled that email preference, and delivery-safety limits allow it. Review a number before saving or re-saving it so the buyer does not receive unnecessary or incorrect tracking.

Shipping and tracking emails use generic subjects and include only shipment facts plus a secure order-details link. Form titles, products, options, answers, and totals stay on the authenticated order page so inbox-connected tracking apps cannot turn sensitive order content into a package label.

Changing an order into Shipped or Direct Vendor Shipped without tracking can send the standard shipped-status email. That message is queued only on a new fulfilled-status transition, is deduplicated for that transition, and follows the buyer's tracking-added email preference.

A single EasyPost or Shippo label purchase also saves tracking and uses the tracking-added preference. EasyPost Batch Ship currently saves tracking without sending tracking-added email. Pirate Ship and FedEx report imports can send the standard tracking email for applied rows without applying that buyer-preference gate, with a maximum of 50 emails per apply, so review selected rows carefully before applying.

The saved tracking and order status remain authoritative if a message is withheld by a delivery-safety limit. Confirm the order state before re-saving the same tracking solely because email did not arrive.

Follow EasyPost and Shippo events

Purchased EasyPost and Shippo labels can receive provider webhook events. EZFormz updates the tracking state for In transit, Out for delivery, Delivered, and Returned events. A Delivered event can move an otherwise eligible order to Completed.

Carrier events and delayed refreshes preserve a seller's manual Return Received or Return Refunded status. A carrier's Returned tracking event does not itself select either manual return status or record a refund.

Buyer tracking-status emails follow the buyer's Tracking added email preference under Account → Notifications, in the Email column. Provider events also respect a seller's older tracking-update opt-out if one was saved; the current Account screen has no separate Tracking updates switch. A saved tracking number by itself is not proof that the provider supports event updates for that shipment.

For an order with a provider shipment, expand the order and choose Refresh tracking beside its tracking status when an event appears stale. Provider refresh requires the form owner. Both EasyPost and Shippo shipments are eligible for refresh, and a daily fallback refresh runs at about 4:00 AM UTC. Manual refresh and the daily recovery sweep can update tracking and move an eligible Delivered order to Completed, but they do not send buyer tracking-status emails. Provider delays, unsupported carriers, or a disconnected credential can still leave the displayed state behind the carrier site.

Pirate Ship spreadsheet fulfillment does not create an EZFormz provider shipment and Pirate Ship does not push tracking events into EZFormz. Imported orders therefore remain Shipped until you change their status or another connected tracking source updates them.

Reprint an existing label

With a verified preferred EasyPost connection, select orders that already have provider labels and choose Print Labels to render a combined document. For either provider, use an expanded order's Fulfillment → Label for its individual label. Provider printing requires the form owner. Reprinting existing label files does not buy postage again. Up to 100 selected labeled orders can be combined; orders with missing or unreadable label data are skipped.

Use the label's provider dashboard when a saved label cannot be recovered, when a purchase or refund is uncertain, or when the carrier made a rate adjustment. Do not buy a replacement until you confirm that the first provider transaction did not complete.
