Connect the provider used by Orders
Open Account, choose Shipping in the account navigation, and find Shipping Integration. Select Shipping Provider. In EasyPost, use a production key beginning EZAK for real postage or a test key beginning EZTK for testing. In Shippo, use a live token beginning shippo_live_ for real postage or a test token beginning shippo_test_. Paste the intended credential and choose Verify. Verification only checks the key: complete the return address below and choose Save Shipping Settings to save the connection. Confirm the saved provider and verified status before purchasing.
EZFormz can retain credentials for both providers, but the current Orders workflow uses one preferred integration rather than a separate active-provider switch. Any stored Shippo row currently takes precedence, even when it is unverified or stale, and can mask a valid EasyPost row. Select Shippo and choose Remove Integration when you need the EasyPost workflow to be active; removing it deletes its saved key and return address, not the other's credential. Always confirm the provider shown before buying postage. Provider label purchase, refresh, printing, and cancellation require the form owner; collaborator order permissions do not grant these account-backed operations.
The saved API key is encrypted at rest and is not returned to the browser. Enter it only on Account Shipping Integration. Never place it in a form, order note, support message, screenshot, email, or Help document. A production key can authorize real purchases, and even a test key is a secret.
Set the return address and packages
Under From Address (Return Address), enter the address that should be sent to the carrier and printed on labels, then choose Save Shipping Settings. Street, city, state, and ZIP are required; name or company, phone, and email are optional. The current Account screen creates US return addresses.
In Package Presets, choose + Add Preset, enter its name, weight in ounces, and length, width, and height in inches, then choose Save Preset. A custom package needs weight and all three dimensions. You can instead choose an available Carrier Box; but Shippo can translate only the supported mapped USPS, UPS, and FedEx flat-rate or express package names. If a saved carrier package cannot be mapped for Shippo, use a custom package with its real dimensions instead.
Package presets are shared account settings, not checkout shipping prices. Mark one default only when it is a safe starting point for the orders that will use it.
Buy one label
- From Dashboard → Selling → My Forms, choose the form's View orders and expand an eligible order on the Received orders page.
- Open Fulfillment, choose Ship and confirm the recipient address.
- Choose a package preset or enter weight in ounces and dimensions in inches.
- Choose Get Rates, select a carrier service, and review the provider and price.
- For EasyPost, optionally enter Declared value to insure (USD). Review this value before choosing Buy Label once.
The Orders Ship button is shown while an unlabeled order is Received, Paid, or Ordered from vendor. It requires a usable recipient address and package weight; a custom package also requires all three dimensions. The EasyPost batch route can also process otherwise eligible On hold and Packing orders.
The selected carrier rate is purchased against your EasyPost or Shippo account. Provider rates, adjustments, refunds, account terms, and carrier availability control the final postage cost; EZFormz does not guarantee a particular service or savings. EZFormz records the selected postage and supported insurance cost for reporting.
When purchase succeeds, EZFormz saves the provider shipment and label, adds tracking, moves an eligible order to Shipped, synchronizes connected order destinations, and can send tracking email when the buyer's Tracking added email preference and delivery-safety limits allow it. Saved tracking is not proof of email delivery. Refresh the order before retrying an uncertain purchase.
Handle insurance and uncertain Shippo purchases
For EasyPost, enter the value of the goods you want to insure, from $0.01 to $5,000. For a $300 shipment, enter 300, even if the buyer paid a $3 custom insurance add-on. Leave the field blank to request no insurance. Custom checkout add-ons are seller-defined charges; their names and prices never select or calculate label coverage. EasyPost account settings may still apply automatic insurance and charges. Shippo insurance is not available in this workflow.
The declared value is not the premium. P&L uses the actual charged insurance fee when available; missing fee evidence stays unavailable. Saved shipments display Requested insurance value, which is not proof of coverage. Check your EasyPost account for coverage and policy eligibility. Test mode does not establish production billing or coverage.
If a label succeeds but its returned coverage is missing or different, the purchase result shows a warning. Keep the purchased label and check coverage in EasyPost before shipping. Do not buy a second label to resolve the warning. Older open Orders pages must refresh before buying EasyPost labels.
EasyPost purchases use retry protection for the same label attempt. Shippo can leave a transaction pending even when the browser does not receive a final label. Check the Shippo dashboard before retrying so you do not buy duplicate postage. EZFormz can resume a completed Shippo transaction; if it did not complete, cancel the local pending attempt and retry only after confirming the provider state.
Batch Ship with EasyPost
With a verified preferred EasyPost connection, select the orders on Received orders, choose Batch Ship, review the planner and package choices, then choose Buy Labels. Batch Ship is an EasyPost-only workflow. Shippo labels must be purchased one order at a time.
The planner skips orders that are cancelled, already have a label, have no usable address, have no checkout shipping method, or used quote-after-order shipping. Eligible orders are grouped by their checkout method so you can process all groups or one group.
Choose one package preset for the batch and enter the declared value separately for each order you want to insure. A carrier or service preference narrows the rate search, but availability differs by destination. When a requested match is unavailable, the workflow can fall back to the cheapest other available rate and purchase it.
Batch Ship confirms the order count and preset, not each order's carrier rate, and its completion summary reports success or failure without the postage amount. Check final per-order postage in P&L or the EasyPost dashboard. Orders run individually, so some can succeed while others fail.
Batch Ship currently does not send tracking-added emails and does not run the immediate Google Sheets tracking/status update used by a single-label purchase. Verify the saved order results and update a connected Sheet when needed; connected Airtable auto-sync is scheduled for successful orders.
After purchase, use the offered combined print for the successful labels. The combined document accepts up to 100 selected labeled orders and skips missing or unreadable label files.
Reprint or cancel a label
With a verified preferred EasyPost connection, select previously labeled orders and choose Print Labels to render their saved labels. For either provider, expand an order and use Fulfillment → Label for its individual saved label. Reprinting is read-only and does not purchase postage again. A missing cached label can still require provider access or a new download.
To cancel an existing label, use Fulfillment → Cancel Label and review the confirmation and result.
On a successful cancellation, EZFormz requests any available provider refund and records the financial outcome before removing the local shipment and saved label. If required provider identity is missing, no local shipping data is changed. If the order is still Shipped or Direct Vendor Shipped, EZFormz clears tracking and returns it to Paid; Completed, Cancelled, and other states are not moved backward. Refund eligibility, timing, and final outcome are provider and carrier decisions, so read the returned result and confirm it in the provider dashboard. A pending Shippo transaction without a completed label may need local cancellation rather than a postage refund.
